Terms and Conditions of Hire

Palmy Campers Rental Terms and Conditions

Rental Locations
Pick up and drop off is located at 160 Featherston Street, Palmerston North unless otherwise agreed.

Driver’s Licence
All drivers with a full or restricted car licence are insured. Licences must be sighted by check-in staff prior to commencing the rental and a copy stored on file. Licences from approved countries or an international driver’s licence are acceptable. Restricted licences are accepted providing you drive to the restrictions.

If your Licence is not in English an authorised/official translation must be provided.

There is no charge for additional drivers but all licences must be sighted.

Standard Cancellation Fees Policy – For bookings 28 days or less in duration:
If cancelled 28 days prior or more – no charge, deposit is refunded.
If cancelled 15-27 days prior to the vehicle pick up – 20% of hire cost charged (your deposit).
If cancelled 4-14 days prior to vehicle pick up – 50% of the hire cost charged.
If cancelled 1-3 days prior to vehicle pick up – 100% of the hire cost is charged.
Cancellations and no shows on the day of pick up will be charged at 100% of hire.
No refunds for cancellations permitted after travel has commenced. No refunds for vehicles returned early.

Long Rental Cancellation Fees Policy – For bookings 29 days or longer in duration:
The length of your booking is the length of 20% fee cancellation period prior to pick up.
For example if you have a 6 week (42 day) booking, if you cancel 22-42 days prior to vehicle pick up 20% fee is charged. If you have a 10 week (70 day) booking, if you cancel 22-70 days prior to vehicle pick up a 20% fee is charged.
If cancelled 4-21 days prior to vehicle pick up – 50% of the hire cost charged.
If cancelled 1-3 days prior to vehicle pick up – 100% of the hire cost is charged.
Cancellations and no shows on the day of pick up will be charged at 100% of hire.
No refunds for cancellations permitted after travel has commenced. No refunds for vehicles returned early.

No Pets Permitted
Pets and livestock are not permitted without prior agreement.

Traffic Infringements
If you are penalised for breaking any traffic laws, parking regulations or failing to pay any toll road fees, you are fully liable for any fines and/or administration costs. We will pass on your details to relevant authorities as requested. 

Should infringement notices come to us after the end of your rental we will notify you to pay these directly. Should we be required to pay these on your behalf we will charge the card used for the rental payment plus a 3% card payment fee and $25 admin fee.

Accidents and Breakdowns
Any problems encountered with the vehicle or equipment must be reported to Palmy Campers as soon as possible. Failure to do so will compromise any claim that may eventuate after the hire has finished.

Minor repairs (when the hirer is not at fault) up to NZ$100 may be made without authorisation and will be reimbursed upon production of itemised receipt. Amounts above NZ$100 require approval from Palmy Campers and clients must retain an itemised receipt. 

If you have a breakdown which is not user error the liability of Palmy Campers extends to either replacing your vehicle with a similar one or refunding you your hire charge for any full days you lose the total use of the vehicle. Any additional transport or accommodation costs are at your expense and you should ensure your travel insurance covers this.

If the vehicle is in an accident or in a breakdown due to user error and you lose the use of the vehicle while it is repaired there is no refund due. In addition, you are responsible for getting the van back to the drop off location. If the repair time extends past the end date of your rental you may be liable for additional rental day charges and costs associated with recovering the vehicle from the location it has been repaired. This cost will come from your hire excess. 

While you are on a rental, if you breakdown you need to call the AA number in the van. They will talk through your issue and send someone out to you if needed. If it is a user error they will charge a call out fee for this depending on your location in the country. If it is a mechanical fault or accident there is no charge.

Vehicle Return
The vehicle must be returned reasonably clean. Should the vehicle be deemed to be in an unclean state when returned Palmy Campers reserves the right to charge the hirer NZ$150. 

The hirer is required to (where applicable):

  • Empty toilet and waste water tank
  • Fill with fuel, LPG and fresh water
  • Wash all dishes
  • Sweep the floor
  • Remove personal rubbish
  • Outside of vehicle must be clean enough to ascertain if any accident damage has occurred.

All vehicles must be returned with a full tank of fuel. If the fuel tank is not full on return you will be charged the cost to refill plus $25 administration.

Failure to empty toilet and empty grey water tank will incur a cost of $250.

Failure to refill the LPG will incur a cost of $50.

Road User Charges
If hiring a diesel vehicle the kilometers driven will be calculated at the end of your trip and will be charged at 8.3c per klm to cover the government Road User Charges. 

Conditions of Hire

  1. All prices, tariffs and costs are valid at the time of publication and Palmy Campers reserve the right to alter them at any time without notice. 
  2. Palmy Campers accepts no responsibility for the detention, delay, loss, damage or injury which a hirer might experience no matter how or by whom it is caused. 
  3. Palmy Campers rental agreement is the sole contract for hiring the vehicle, between the company and the hirer and passenger(s).
  4. No refunds are payable on accommodation or for days when vehicles are not available, where the hirer or passenger amends, cancels or seeks to vary agreements after departure.
  5. Palmy Campers reserves the right to provide a comparable vehicle where a booked vehicle becomes unavailable through servicing or reasons beyond the company’s control. We will refund the cost should it be a lower valued vehicle. 
  6. Deposit is required at the time of confirmation with balance paid 14 days before pick up on standard bookings (28 days or less) or 21 days before pick up on long bookings (over 28 days).
  7. The rental cost must be paid in full before pick up of the vehicle. If you wish to extend the booking after the rental has commenced, payment for additional days must be made at the time of extension request. 
  8. There is a 3% card payment fee on all card payments other than the rental hire. This includes any charges which are taken from a bond we hold, or charged to your card after the rental for damage, tolls or infringements.
  9. Amendment fees – once a booking is confirmed 1 amendment can be made free of charge. Additional amendments will be charged at $25 each. This fee will be waived if the amendment increases the value of the hire. If an amendment is made that alters the date of pickup to a later date then any cancellation of the booking thereafter is charged at 100%, regardless of when the cancellation is made. 
  10. Pick up and drop off times are to be arranged in advance between 9am and 6pm. If you return later than 6pm without prior agreement an additional day’s hire will be charged. If you wish to pick up after 6pm it may be possible on request with a $100 out of hours fee applied.
  11. These conditions cannot be varied, altered or waived by any employee, agent or representative of the company or by anyone proving services or facilities.
  12. Should any debts remain unpaid for more than 14 days after the rental has finished or the debt became due we can refer your debt to a debt collection agency, and if we do so you must pay any costs that we incur in connection with the recovery of the unpaid bill (including the agency’s fees and any legal fees).



Insurance

Standard Excess Insurance Cover

All vehicles come with fully comprehensive commercial insurance cover which insures against recoverable 3rd party accident damage, theft and break-ins (excluding personal belongings). A standard excess of $5000 (per incident) applies in the event of any damage to either our vehicle or 3rd party property. 

The excess includes damage to the rental vehicle and 3rd party property, vehicle recovery, admin fees, and additional days of hire covering time to fix the vehicle.

Only individuals who have had their licence sighted by Palmy Campers staff are insured to drive the rental vehicle.

Excess Reduction
There is the option to reduce your excess from $5000 per incident with an additional daily rate charge.

$3000 per incident excess – $15 a day (max $500 per rental)
$500 per incident excess – $35 a day (max $1500 per rental)

Vehicle Security Bond
A security bond is required before pickup of the vehicle. This will be $5000 if no excess reduction option has been selected. If an excess reduction option has been selected the bond is the same value as the excess.

The security bond will be charged 2 days before the rental starts and held up to 7 days after the rental vehicle is returned. This is automatically frozen from the card you make payment with. If you pay for the rental by any other method other than online card payment a card will still need to be provided for this charge to be frozen. 

Should the vehicle be returned with damage the bond will be retained until the damage is resolved and the bills have been paid.
